Employee Monitoring Notice

01Why this notice exists

PixaTimer records work time with screenshots and activity counts. People being tracked should know exactly what is recorded and who can see it. Employers may share this page with their teams.

02What the tracker records

• Time: the task you are working on and the time spent on it, synced about every 30 seconds while the tracker is running.
• Screenshots: taken while you are tracking time.
• Activity counts: the number of keyboard and mouse events for each screenshot. A screenshot with fewer than 20 combined events is marked as low activity.
• Time added by hand: any time you add yourself, with the reason you give. Until a manager approves it, it is marked “not approved” and left out of most totals.

03What it does not record

• What you type: the tracker counts key presses, it does not log the keys.
• Anything while you are not tracking time.
• Glitches: tracked blocks longer than 90 seconds, or that run backwards, are discarded rather than counted as work.

04Who can see your records

• You can see your own time and screenshots.
• Your managers can see the people they manage.
• Your company’s admins (owners) can see the whole company.
• People in other companies never see your data. Clients receive only the reports your company exports.

05What you can do

• Choose when to start and stop tracking, and take breaks.
• Review your own screenshots and time.
• Add missed time with a reason; it counts once a manager approves it.
• Ask your employer to correct records. Regular users cannot move the start or end of time the tracker recorded, so corrections go through your manager or admin.

06What employers must do

• Tell people before tracking starts what PixaTimer records and why, for example by sharing this notice.
• Have a lawful basis for the monitoring and get any consent required where the person works.
• Use it only for work, and keep access to screenshots to the people who need it.
• Answer people’s questions and requests about their data.
